Tracking mileage

Log the miles you drive for work — automatically from your trips or by hand — and see the reimbursement.

If you drive for work, those miles are usually reimbursable. ProjectPacer tracks trips and turns them into a mileage log you can export.

A trip is an origin, a destination, and the miles between — logged automatically or by hand.
Mileage is a feature you may need on

The Mileage screen appears when the feature is enabled for your workspace. If it's not in your sidebar, it's turned off — an admin can enable it.

Where trips come from

  • Automatically — when travel time is attached to an entry (from a saved location), ProjectPacer captures the distance as a trip.
  • By hand — add a trip yourself with an origin, destination, and purpose. This always works, even with nothing else set up.

Reimbursement

ProjectPacer shows the potential reimbursement for each trip and the total, so you know what the driving is worth. It uses the mileage rate in settings, which starts at the current IRS standard rate — figures appear before you set anything, so check it matches what you actually reimburse.

A guide, not tax advice

Distances are estimated routes, and the reimbursement figure is a convenience calculation at the rate you set — both are for operational estimating, not tax preparation. Confirm the rate, the miles actually driven, and the rules for your situation before you file anything. Keeping mileage records that satisfy your local tax authority is your responsibility.

Filter and export

Filter trips by client, project, or person, then export the log as CSV or a PDF for reimbursement.
