Setting your rates

Where to add bill and cost rates, how the hierarchy resolves them, and how to make sure no billable hour goes unpriced.

Rates turn tracked hours into dollars. You add them where they belong in the rate hierarchy, and ProjectPacer resolves the right one for every entry automatically.

Setting rates needs permission

Adding and editing rates requires a rate-management permission (owners and admins have it; managers can be granted a scope). If the Rates screen isn't in your settings, your role doesn't include it yet.

Add a rate

Pick the scope

Decide how broadly it applies — a person, a client, a project, an engagement, or a task type. Broader scopes are defaults; narrower ones override.

Enter the numbers

A bill rate to charge, a cost rate to measure profit, or both. You don't need both — a bill rate alone still gives you revenue.

Choose how it applies

A new rate covers all time by default. When you change an existing rate, pick all time (retroactive — past and future re-price) or only from a date (earlier hours keep the old rate). Each entry is priced at the rate in effect the day it was worked, and you can schedule a rate to start in the future.

Coverage — find the gaps

The Coverage view shows, at a glance, where rates are set and where they're missing across people, clients, projects, and engagements. Work through the gaps and you'll know every billable hour has a price behind it.

Set rates without hunting

Many screens have a Set rate entry point right where you'd notice one's missing — you don't have to come to settings to fix a gap you spotted on a report.
