Plans & billing
How usage pricing works — you pay for the projects and seats you provision, the first of each free — and how to subscribe, change, or cancel.
ProjectPacer is billed per workspace, and the price follows how much you provision: your active projects and your seats. The first project and the first seat are always free, so a solo workspace with one project stays on Free with no card. You only pay to add more.
Every workspace includes the whole app — tracking, rates, invoicing, profitability, integrations, and AI suggestions. Nothing is gated behind a higher tier; only your project and seat counts scale the price.
Subscribing or changing a plan needs the manage members permission (owners and admins). If Billing & plans isn't in your workspace settings, your role doesn't include it.
What you pay for

- Clients are free. A client is just a folder; you track time against projects, and only active projects count. Archiving a project frees its slot.
- Collaborators are free — up to a few projects. Outside people you share specific work with — a subcontractor, a partner, a client stakeholder — keep their own workspace. A collaborator you share up to 3 active projects with is free; once they can reach 4 or more (a whole client counts its active projects), they count as a seat — at that point they're really a teammate. - Annual saves two months. The Monthly / Annual toggle bills once a year at ten times the monthly rate.
Extra projects stop adding up at $29.88/mo — the twelfth extra project is the last one you pay for, and every project beyond that is included. Seats aren't capped.
Which people take a seat
A seat is any active member above viewer. Viewers are read-only and free and unlimited, so you can give a client or a stakeholder a look without paying for them. Owners, admins, managers, and members each take one seat. See Roles & permissions for what each role can reach.
Subscribe
In workspace settings, go to Billing & plans. On Free you'll see Build your plan with what you're using now.
Use the – / + dials to choose how many of each you want, and the Monthly / Annual toggle for the cycle. The total updates as you go, itemized so you can watch it add up.
Press Add a card & subscribe. You'll finish on Stripe's secure checkout, then land back here with your plan active.
Adding a project, or inviting a teammate, beyond your free allowance brings up a prompt to add exactly what you need — no trip to settings. It finishes creating the project (or sending the invites) as soon as you're set.
Change your plan
Already subscribed? Open Billing & plans, expand Change plan, and adjust the dials — or use Switch to annual to change your cycle.
- Adding projects or seats (or switching to annual) charges the prorated difference right away, then your regular price from the next renewal.
- Removing projects or seats takes effect and lowers your next bill; the current period isn't refunded. You can't drop below what you're using — archive projects or remove members first.
For your card, invoice history, or to cancel, use Manage billing, which opens the Stripe billing portal.
Renewal, cancellation & refunds
Your subscription renews on its own — monthly or annually — at your current price, until you cancel. We email a confirmation when you subscribe or change your plan, a reminder before each annual renewal, and a confirmation when you cancel.
You can cancel two ways: Downgrade to Free at the bottom of Change plan, or Cancel subscription (which opens Manage billing). Either way:
- Your plan stays active until the end of the period you've paid for, then the workspace reverts to Free — you keep every paid feature until then.
- Charges already made aren't prorated or refunded.
- Nothing is deleted. If you're over the Free limits when the plan ends, you'll archive projects (or remove members) down to the free allowance before adding new ones.
Some workspaces are comped — every feature, unlimited projects and seats, at no charge. If yours is, Billing & plans simply says so, and there's nothing to buy or manage.
