Staffing an engagement

Book someone for a week, staff an engagement across its whole span from who's free, or spread one person across engagements. Staffing and access stay separate.

People are staffed onto engagements, never a bare client or project. You can do it a week at a time from the lanes, or fill a whole engagement in one go from the Staff panel.

Staff, opened from an engagement. People are sorted by who has the most room; adding someone defaults to the hours that close the gap.

Book someone for a period

Tap any bar on the People tab to open the booking editor for that person and period.

  • Pick an engagement.
  • Set the amount as hours a week or a percent of their capacity. 50% of a 40-hour week is 20h.
  • Choose Confirmed or Tentative. Tentative work pencils in on top without counting as committed.

A capacity bar shows how full the booking makes them. It turns red past their line, so booking past capacity is a deliberate stretch, not a surprise.

Percent is of their capacity

A percent is converted to hours on the booking, so a later capacity change never quietly rewrites it. The % option is greyed out until that person has a weekly capacity set.

Staff an engagement across its span

On the Engagement tab, open Staff in the header, or expand an engagement and choose Staff / edit.

•
Add from who's free

The panel lists your team sorted by who has the most room over the engagement's span, each with free hours a week and total capacity. Adding someone defaults their hours to close the remaining gap, capped at what they have free. Click the ▸ caret on anyone to see their load and what else they're carrying.

•
Balance the coverage

A coverage bar reconciles staffed hours against the planned pace: short, over, or fully covered. Adjust anyone's hours a week inline.

•
Save it

Save staffing writes one confirmed booking per person across every week of the engagement.

Because staffing is driven by the engagement's planned pace, the Engagement and People tabs can't drift. Staff here and the hours show up in everyone's lanes immediately.

Editing hours keeps the dates

Adjusting someone's hours in Staff changes their existing booking in place, dates kept. Dropping someone removes their booking; adding someone fills the whole span. A person with several different weekly bookings shows as varies; edit those in the People tab.

Staffing needs a timeline

Staff lists engagements with a start and end date and a planned pace. An open-ended engagement doesn't appear; give it an end date, or book its people by the week from the lanes.

Staff a person across engagements

The People tab's Staff is the mirror: pick a person and spread them across engagements. The engagements they're already on sit at the top with editable hours; Add an engagement opens a dropdown of what's available.

A capacity bar shows how full you're making them, and each engagement row carries its coverage percent, moving live as you change this person's hours. Other committed work, like an open-ended engagement, shows read-only under Also booked and still counts toward the bar.

Staffing and access

Being staffed on work and being able to open it are two different records. Staffing is a plan. Access is granted on Clients & projects and People. You can staff someone before they have access, and granting access never books anyone's time.

The two meet in two places, both optional:

  • When you grant access. On a project's People tab, give someone access and, if the project has one bounded engagement, a Staff on the plan control appears, defaulting to the hours they have free.
  • In the Staff panel. Anyone staffed who can't yet see the work is flagged no access, with a one-tap Grant.
Who you can staff

Anyone who does the work: members, and your external collaborators (shown with an External badge; they staff without a free-hours read, since they're not on your capacity). Viewers can't be staffed: they're read-only by design. A manager staffs their own people onto the engagements they can see; a project manager staffs anyone onto the projects they manage. Anyone the engagement is in view for can expand it on the Capacity tab to see who's on it.
