The Engagement tab

The whole practice on one screen — the Booked vs capacity chart, the window's tiles, and one ribbon per engagement. Where you see how full you are.

The Capacity tab has two views. Engagement is the whole practice: every engagement's planned hours, stacked against the hours you have. People is the same plan, one lane per person. This article is the Engagement tab.

Who sees the Capacity tab

Everyone sees what they can reach: owners and admins the whole workspace, a manager their team, a project manager their projects, everyone else their own lane. Viewers and external collaborators don't see the tab. The table at the end of this article has the detail; money always follows See billing and See costs.

The Booked vs capacity chart

One bar per period, measured against your workspace capacity. 100% is the capacity line. The green band is the ideal zone, and its bounds are yours: Change in the chart legend.

  • Forward periods show the planned pace of every engagement running then, coloured by load: accent when there's room, amber when it's busy, red when it's over. Each bar's open hours are written above it.
  • Past and current periods keep the same planned bar and add a black line at the hours actually tracked, so a week planned at 30h and tracked at 20h shows both.
  • Hover any bar for the exact figures: booked, tracked, capacity, utilization.

The tiles

Four tiles follow the window you're looking at.

  • Booked — how much of your capacity is spoken for, with the band it falls in.
  • On the bench — capacity with nothing booked against it.
  • Top client — one client's share of what's in view: of billable if you can see billing, else of booked hours.
  • Estimate drift — the completed periods added up, tracked against planned. It only colours red when you're running over plan; under plan might just be efficiency.

Avg client lifetime sits with them: each client in view, their whole tenure and lifetime value.

The ribbons

Below the chart, Booked work draws one ribbon per engagement across the window. The thicker the ribbon, the more hours a week it takes, and it spans the engagement's real dates.

  • A pace change steps the ribbon up or down on the day it starts, labelled with the new hours a week and an ↑ or ↓. When changes crowd together only the arrows show; hover to read the exact pace.
  • Recurring engagements show their next cycle hatched, until the date you stop them renewing. Milestones sit as a ◆ on their due date. An engagement that ended stops on its day.
  • Move across the chart to scrub. A playhead reads every row at one date: booked hours, capacity, utilization, and (with See billing) the value that week. Engagements not booked on that date dim out.
  • Click the ▸ caret on any engagement to open it in place: who's on it, their hours a week and the share of the engagement's pace that covers, with Staff / edit, Adjust pace, Add goal, and Open engagement right there.
The coloured % by each name

It's how much of that engagement's planned hours are staffed to people over the window: green when covered, amber when short, red at 0%. Until you've staffed anything at all, every figure stays grey. Staffing is optional, and an unstaffed plan isn't an error.

A dollar budget needs a rate to plan

A dollar budget turns into planned hours through the engagement's bill rate, or the rate card's if it has none of its own. With neither, the ribbon shows Needs a rate and the engagement plans no hours until you set one.

Set the window

The header controls are shared with the People tab.

  • The window picker sets the date range: this month, quarter, half, or year, or a custom span. ‹ › nudge it a period at a time; Today re-anchors.
  • Period sets the bucket each bar represents: week, month, quarter, or the workspace's own planning period.
Set a workspace capacity first

Every bar is measured against your capacity. Until one is set, the chart shows plain hours with no capacity line, band, or percentages, and points you to Settings → Rates & capacity.

Who sees what

The tab is scoped by role, so a manager plans their team without seeing the whole shop. Granting a manager Invite & remove people makes it workspace-wide for them.

For a manager or project manager, the tiles and the chart are built from the people in view: their staffed hours against their capacity, and what they tracked. The whole-workspace view measures engagement pace against team capacity instead.

Your team's capacity

The People tab: the same plan, one lane per person.

Adjust pace

Change an engagement's pace for any stretch, and let the rest of its plan rebalance.

Test a scenario

Win the pitch, lose a client, add a contractor. See it before you decide.
